What is a conflict of interest?

A Conflict of Interest may exist whenever an independent observer might reasonably question whether the individual’s professional actions or decisions, including the ethical and objective conduct are determined by considerations of personal gain, financial or otherwise.

How does this apply when reviewing abstracts? We recognize that medical education in Canada is a small and collegial world. It may be difficult to review abstracts where you have not met any of the authors. For that reason, we suggest the following as potential conflicts of interest; if any apply to the abstract you are reading, please do not review that abstract:

  1. Co-authoring publications with at least one of the authors in the past 3 years
  2. Being colleagues within the same section/department or similar organisational unit in the past 3 years
  3. Supervising/having supervised the doctoral work of the author (s) or being supervised/having been supervised by the author(s)
  4. Receiving professional or personal benefit resulting from the review
  5. Having a personal relationship (e.g. family, close friend) with the author(s)


What to look for as a reviewer

The scoring guide should help you decide what to pay attention to when reading the abstract. Additionally, you should consider if the authors were clear in how they wrote about their work – this is a holistic judgement on your part. If an abstract has a “wow” factor, you can indicate that by checking the “This abstract MUST be included in the program” box. We also ask that you remember that there is a maximum word count for abstracts (1800 characters/about 250 words). This will necessarily limit the amount of detail that authors can include.

What are my responsibilities?

 If you submit an abstract to CCME, you are agreeing to participate in the abstract review process. Your responsibilities are simple: we ask that you read at least 5 abstracts, and score them using the scoring guide in the review system. You are expected to be fair and as objective as possible in reviewing the abstracts. We do encourage you to leave a comment – authors do look at the comments to see what they did right, and to see what they could improve in writing future abstracts.

Why are we asking all submitters to contribute to abstract reviews?

 The number of abstracts submitted to CCME grows every year! This is great for medical education scholarship in Canada, but it does mean that ensuring a fair review of abstracts is getting challenging to accomplish. We try to make sure that 4 different people review and score every single abstract – that meant 2768 total reviews were needed last year, and it was challenging to get all of the reviews completed in time. A few volunteers stepped up and reviewed over a hundred abstracts each to make sure that every abstract got a fair review in a timely manner. This year, it is mandatory for abstract submitters to also do reviews. If each person submitting an abstract also reviews at least 5 abstracts, the review process will be much faster, and there will be a greater range of perspectives in the review process.

What’s in it for me?

Reviewing these abstracts is a wonderful contribution and collaboration to further Medical Education at a national level – and it is a terrific way to learn about what is happening around Canada (and beyond!) in medical education scholarship. All reviewers will receive a letter of thanks and recognition for their work.

How do I choose what abstracts to review?

Choose themes that are of interest to you! There are lots of abstract submissions to choose from, so look for subject matter areas that you are interested in or that pique your interest!

This abstract seems awfully long… isn’t there a word limit?

If you are reviewing an abstract that feels very long (or longer than others you have reviewed), please tell us in the comment box. Our current submission system does not limit the text entered, and we want to be as fair as possible to everyone by respecting the word limit.

This abstract is describing a study that has not happened yet – how do I review it?

One of the eligibility criteria for CCME is that the research must be completed – there is no “works in progress” category. If you think the abstract is for a “work in progress”, please indicate that in the comments.

What is CAME’s role?

As one of the founding partners of CCME, CAME is expected to contribute to the operation of the meeting. Rather than contributing funds, CAME’s role is to oversee the abstract selection process for the pre-conference workshops, conference workshops, orals, posters, and the educational research symposium. In addition, CAME oversees the recruitment of moderators and raters for the oral abstract and poster sessions. As such, the contribution of the CAME membership to the operations of CCME are crucial.
